Buxton Little League Agenda for November 10th, 2011
Attendees: Stacy Robida, Robin Milliken, Debi Sanders, Arlo Pike, Scott Hamilton, Jason Lariviere, Scott Emerson, Bill Hall, Matt Riddell, Larry Curtis, Renee Allocca
Meeting called to order at: 7:10 Adjourned at: 8:30
Agenda Topics:
1. Treasurer’s Report: Bill Hall provided a Balance Sheet and Revenue & Expenditures Comparison for the 2009/10 and 2010/11 league years. Some incoming and outgoing funds were made after the report was completed, however the balance at that time was $10,195.65.
2. Board/Committee positions: Bill Hall stepped down as Treasurer. Stacy Robida was nominated and voted in as the Fundraising Coordinator. Matt Riddell accepted the position of Field Manager. Scott Emerson was nominated and voted into the Treasurer position. At this time, all positions have been filled.
3. Christmas Tree Sales:
a. Banners – Completed, need to be picked up and hung on the Tennis Court fence
b. Volunteer Schedule – Renee will provide Stacy Robida with e-mails and she will coordinate the scheduling. Go Stacy!
c. Food / Drink – Hot Dogs, Burgers, Coffee & Cocoa. We will use the Concessions Stand.
d. Music – We will stream music through the PA system
e. Flyers – Renee will send out a Flyer to all committee members to print and pass out.
f. Mass e-mail & $5.00 coupon – Renee will send the e-mail, post on the FB and Website. $5.00 coupon will be modified to include “use for 2012 registration or $5.00 towards concessions”
g. Matt “Santa Claus” Riddell agreed to done the red and white. Renee will take pictures for $5.00 and e-mail back to the parents. This will be done at times specified (to be coordinated at the next meeting)
4. Registrations:
a. Based on Treasurer’s report, do we raise the fees by $10.00? – Tabled until January. Last year’s fees were $55 / $65 / $75
b. Banners for tennis court fence ordered/completed
c. Round 1: Week of Feb 20th (school vacation)
d. Round 2: Week of Feb 27th
e. Online signups will begin 2/1/2012
f. Deadline for signups will be 3/9/2012, but we will accept registrations at the Assessments
5. Sponsors:
a. Banners Pricing: Both 2 ½ x 4’ and 2 ½ x 6’ per sign is right around $60.00 The more we purchase at once, the lower the price gets.
b. Need to finalize fees for:
i. 2 ½ x 4’ banner at Weymouth / Groveville / Both – Jason needs to recalculate
ii. 2 ½ x 6’ banner at Weymouth / Groveville / Both – Jason needs to recalculate
iii. Website Sponsorship – Front Page / Inside pages – Renee to provide samples from the Website
iv. Team Sponsorship – leave as is, but still need to determine which sponsors will remain for Majors (down one team from 2011) and AAA (down one team from 2011)
v. Renee to review existing sponsorship letter and amend as appropriate for any new adjustments.
vi. Scoreboard sponsorship for Groveville needs to be solidified – Nestle and OTT have sponsored but nothing on the scoreboard?
6. Fundraising ideas:
a. Raffle Tickets at signup for 50/50. Parents can sell to get their money back or keep for themselves
b. 50/50 raffles during games
c. Jason – road race the day of opening ceremonies
d. We have a Clynk account - We could give bags to coaches and/or parents (at registration?) and let them turn in some bottles for us.
e. Raffle Calendar
f. Bat-a-Thon
g. Parent’s game
h. Stacy will pull together ideas to present at our next meeting.
7. Open Discussion Items:
a. Crimping Machine is still missing, BLL will get their $50.00 deposit back if found & returned.
b. Porta Potty wars – need to consider for 2012
c. Fencing at Groveville needs replacing, Outfield fence at Weymouth needs some repairs
d. The flag at Groveville is still up – Weymouth has been brought down. BLL owns the responsibility of making sure the flags are taken care of. Should we replace the flagpole at Weymouth field? Something to bring up in January.
e. Replace the sign at Weymouth Field.
f. Paul met with Peter Jarvis of Hollis LL – there is talk of combining Hollis and Buxton as one team / one board of directions. Something for future consideration.
